Inspire Global Media Awards & Marketplace
enquiries, registrations and communications connected with the Inspire Global Media Awards & Marketplace and Inspire Global Tourism Awards & Industry Reception.
This notice does not currently apply to the Inspire Global member portal or Cheltenham Travel Festival, which are covered separately.

The information we collect depends on how you interact with us and may include:
identity and contact details, such as your name, job title, organisation, postal address, email address and telephone number;
professional information, including your role, business interests, biography, areas of expertise, media outlet or tourism specialism;
event information, such as attendance, accessibility or dietary requirements, session choices, meeting preferences and feedback;
awards information, including entries, supporting evidence, judging scores and comments, finalist or winner status and related correspondence;
content and publicity materials, including photographs, video, audio, biographies, logos, quotations, social-media handles and material you provide for publication;
commercial and administrative information, such as partnership details, order forms, invoices, payment status and correspondence. We do not normally receive full payment-card details where payment is handled by a third-party provider;
marketing preferences and information about how you engage with our emails;
technical and usage information, such as IP address, browser and device information, pages visited and interactions with our websites;
correspondence and any other information you choose to provide.
We do not normally seek special category information. However, dietary or accessibility information may reveal information about health, religion or belief. We use it only where necessary to make suitable arrangements and, where required, with your explicit consent.

directly from you, for example when you contact us, register for or attend an event, enter an award, subscribe to updates, complete a form or correspond with us;
from your organisation, colleague, representative or another person making a booking or nomination on your behalf;
from judges, speakers, partners, venues, photographers and other people involved in our awards and events;
from publicly available professional sources, including organisation websites, media publications and professional social networks;
automatically through cookies and similar technologies when you use our websites.
5. How and why we use your information
Enquiries and business relationships
We use contact and professional information to respond to enquiries, communicate with existing and prospective partners, manage relationships and develop relevant events and opportunities. We rely on our legitimate interests in operating and developing our business, or on steps taken at your request before entering into a contract.
Events
We use personal information to plan and administer events, manage registrations and attendance, communicate practical information, organise introductions or meetings, accommodate access and dietary requirements, manage safety and security, collect feedback and follow up after an event. We rely on performance of a contract, legitimate interests, legal obligations and, for special category information where required, explicit consent.
Where an event is designed around networking or scheduled meetings, we may provide an attendee or participant list to relevant attendees, partners or suppliers. We will limit this to appropriate professional information and explain the arrangement when you register or before information is shared.
Awards
We use entry, entrant and nominee information to administer awards, assess eligibility, support independent judging, communicate results, produce certificates and recognise finalists and recipients. We rely on performance of a contract and our legitimate interests in operating credible awards and promoting achievement within tourism and travel media.
Award entries and supporting information may be shared with appointed judges and authorised administrators. Finalist, highly commended and winner information may be published on our websites, in event materials, press releases, social media and future awards archives. Information clearly identified as confidential will not be published unless we have permission or another lawful basis to do so.
Photography, filming and publicity
We may photograph or film our events and use selected images, recordings, names, roles, organisations and quotations to report on and promote Inspire Global, its awards and future events. We rely on our legitimate interests in documenting and communicating our activities. We will provide appropriate notice at events and consider reasonable requests not to be photographed or to stop using a particular image, taking account of the circumstances and our legal obligations.
Email updates and direct marketing
We may send relevant updates about Inspire Global events, awards and opportunities where you have consented or where applicable law allows us to rely on legitimate interests and the business-to-business marketing rules. Where necessary and proportionate, we may share personal information with:
Microsoft, which provides Microsoft 365 services used for email, documents, spreadsheets and business administration;
Mailchimp, which provides email distribution and engagement reporting;
Google, which provides website analytics and related services;
website hosting, maintenance, security and technical service providers;
venues, caterers, event suppliers, photographers, production teams and other providers involved in delivering an event;
awards judges, authorised administrators and relevant event partners;
professional advisers, including accountants, insurers and legal advisers;
regulators, courts, law-enforcement bodies or other parties where disclosure is required by law or necessary to establish, exercise or defend legal rights;
a purchaser, investor or successor if our business or assets are reorganised, sold or transferred.
Service providers acting for us are required to process information only for authorised purposes and to protect it appropriately. We do not sell personal information.
8. International transfers
Some of our service providers operate internationally or use systems located outside the United Kingdom. This may involve transferring personal information to countries whose data protection laws differ from UK law.
Where required, we use a lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another safeguard permitted by UK data protection law. 9. How long we keep information

event and contractual administration: normally six years after the relevant event or the end of the contractual relationship, particularly where records support financial, tax or legal obligations;
unsuccessful or non-recognised awards entries and working judging records: normally up to two years after the relevant awards cycle, unless needed to address a query or dispute;
published finalist, highly commended and winner records: may be retained indefinitely as part of the permanent public record and archive of the awards;
accessibility and dietary information: deleted or anonymised after it is no longer needed for the event, unless required in connection with an incident or legal obligation;
marketing records: until you unsubscribe or object, after which we may retain minimal information on a suppression list so that we respect your choice;
photographs, recordings and published editorial material: may be retained as part of our business and historical archive, subject to individual rights and reasonable objections;
analytics information: retained in accordance with our configured analytics settings and reviewed periodically.
We may retain information for longer where required by law, where a complaint or dispute is anticipated or ongoing, or where necessary to establish, exercise or defend legal rights.
10. Security
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or destruction. These include access controls, password protection, secure hosted services, encryption where appropriate, software maintenance and limiting access to people who need the information for their role.
No internet or electronic storage system can be guaranteed completely secure. If we become aware of a personal data breach, we will assess it and notify affected individuals and the Information Commissioner’s Office where required by law.
